The clients may register their details for future use when booking a tour. However, these are only personal details such as name and address. It should be noted that this is voluntary and for those who required discounted rates as returning customers when they book a tour in the future. We do not keep financial information such as credit card numbers, bank details and the like. The personal information kept is governed by the Privacy Law of the Republic of Uganda.

All information detailed in client itineraries is given to the best of our knowledge and based on the latest information available. A-One Safaris cannot be liable for modified information from third parties, nor for any obvious typing errors.

We shall reserve the right to employ subcontractors to carry out all or part of the services agreed to be supplied.

In the event that you wish to amend your reservation in any way, A-One Safaris will make the preferred adjustment where practicable and possible and confirm accordingly. A-One Safaris reserves the right to charge an amendment fee relative to the actual costs, which will be added to the total invoice.

Prices on the website or quoted to our clients are subject to change without notice and are not guaranteed until confirmed in writing. We reserve the right to adjust prices at any time should there be any fluctuation in the exchange rate or increase in the cost of any element of the tour. The company will however make every effort to minimize any increases.

Only when payment has been received can permits for gorilla tracking in the relevant National Park be purchased. Getting a gorilla permit is not a guarantee of seeing a gorilla. Local conditions sometimes mean that access to the gorillas is made impossible at short notice. We are unable to accept liability for any circumstance that might lead to gorilla viewing being cancelled, whether it is closure of the National Park or borders; absence of the gorillas; security changes. Refunds are at the discretion of the relevant authority and we cannot accept liability for them. We shall use our maximum endeavors to obtain a refund and if a refund is paid by the relevant authority, we shall pass it on to the client.

A gorilla or chimpanzee permit guarantees clients will be able to track the primates in question but does not guarantee that the animals will be in plain sight. However, chances of spotting the primates is at least 96%

All expeditions involve an element of personal risk and can be of a hazardous nature. Every participant must accept this risk. We are not liable for any loss, damage, injury, death, delay or inconvenience caused to you or your baggage as a result, directly or indirectly or any matter of whatever nature, which is beyond our control. A-One Safaris recommends clients take out travel, health, accident and cancellation insurances. We can arrange this for you at a relatively low cost.

If you do not purchase travel insurance you may not be able to recover cancellation charges, medical costs, repatriation and other expenses that may be incurred if things do not go according to plan.

Prior to departure a valid passport or government issued photo identification is required to be produced to the guide of the tour for verification. Accepted forms of government issued photo identification includes drivers licenses, proof of age cards, government identity cards and passports which must be valid for at least six months after the return from their trip to avoid any related inconveniences

Clients are encouraged to make copies of these identification documents and keep them in separate locations incase of loss, damage or theft.

It is the responsibility of the tour leader to ensure that all members of the tour have the appropriate passports, visas, travel permits, health certificates and other documentation required for the safari.

Payment can be made by credit card, bank transfer, PayPal, Mobile Money or cash, before the start of the safari. Note that payments by credit card attract a 5% service charge. Credit card transactions must be made at least a month prior to the start of your safari. The costs of international transactions (or 5% service charge in case of credit card payments) are to be fully paid by the client.

Bookings made within 30 days before arrival must be paid in full at the time of confirmation.

Confirmed bookings require a deposit of at least 50% of total tour cost to cover safari activities that require prior booking like Gorilla permits, chimpanzee permit. The balance of all monies due, including any surcharges must be paid no later than 20 days prior to the trip departure date. In the case of non-payment of the balance by the due date, the booking shall be cancelled unless the client explicitly informs us in writing that that he/she/they will pay the balance cash upon arrival.

Your booking is not secure until we have received a deposit. If your deposit as indicated on your booking confirmation is not received within three (3) working days, your booking will be cancelled automatically.

When you first make a payment towards your tour holiday, you represent that you have authority from all participants on your booking(s) to accept our Booking and Tour Conditions on their behalf. Parents/Legal guardians accept the Booking and Tour Conditions on behalf of their children.

On receipt of full payment travel information will be forwarded by e-mail. This will include: confirmation, detailed itinerary, booking references and Name of the tour leader for your safari and the Tour guide assigned.

All cancellation requests must be made in writing and shall be effective on the date of actual receipt of said communication. Only then will the refund policy be put into action.

All expenses incurred (if any) from money paid shall be deducted and we shall provide payment evidence for reference. Thereafter, the following cancellation charges apply:

In the unlikely event that a client has a complaint about any of the travel arrangements, they must advise the assigned staff member at the time and inform the booking officer in writing or via phone call. This will assist settlement of any grievance or complaint. However, suggestions are very much appreciated in order to keep improving the quality of the service.

A-One Safaris cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.

The company is incorporated in the Republic of Uganda and it operates under the laws of Uganda. All claims are subject to the jurisdiction of the courts of The Republic of Uganda in which the cause of action arises.

By making a deposit or payment of the said tour, the client will be said to have understood the activities he/she/they will participate in and the inherent risks these tour activities involve. We shall not be liable to any bodily harm or death or meeting expenses therein involved in such cases.

Please make sure that all valuable and important items, such as jewelry, medicines, fragile items, and camera/computer/electrical equipment are carried on your person and not left unsecured in the tour vehicle or elsewhere.

Any personal belongings left behind and not claimed within 3 weeks of the tour return may be donated to charity or destroyed.

Where consumer laws and other laws permit us to exclude our liability, we will not be liable for loss of, or damage to, any personal belongings, unless caused by our proven negligence or failure to provide services with due care and skill and that are reasonably fit for purpose.

A-One Safaris reserves the right to refuse any person from participating or continuing any tour if, in A-One Safaris’ opinion or in the opinion of any other person in authority, the person concerned behaves in such a way as to cause or be likely to cause danger, hazard or inconvenience to any third party, damage to property or to environments and ecosystems. No refunds will be made and A-One Safaris shall not be liable for expenses incurred as a result of the termination.

Good physical and mental health is essential for the enjoyment of these active, outdoors tours. You may travel in rugged areas removed from modern medical facilities. Good physical conditioning is recommended as preparation for all tours, especially those involving trekking. By forwarding the deposit, the passenger certifies that he/she does not have any physical or other condition of disability that would create a hazard for him/herself or other passengers. It is essential that any participant with a medical condition requiring regular treatment or which may be affected by vigorous activity, high altitude, heat, cold, other natural phenomenon, or particular foods, notifies us and the tour leaders, in writing in advance of travel.

We assume no liability for medical care nor for special dietary requirements if not informed long in advance. It is the responsibility of the clients to take proper medical and practical precautions in regard to health and safety. Medical advice should be sought well before travelling.

The tour participant must report any disability requiring special attention at the time a reservation is requested. A-One Safaris will make reasonable attempts to accommodate the special needs of such client(s), but does not guarantee this, and is not responsible for any denial of services by airline carriers, hotels, transportation agencies, and other independent suppliers. A-One Safaris shall try to provide individual assistance to a client for walking, dining, getting on and off motor vehicles, boats and other transportation vehicles, or assist with other personal needs where possible. Clients who need such assistance must be accompanied by a qualified companion who is also a part of the tour group but shall be charged at a discounted rate.

We reserve the right to take photographic images of individual participants to use for commercial promotion of our company. Tour members who prefer that their image not be used are asked to identify themselves to their tour escort at the start of the tour.

Please ensure that the quotation given with details of number of clients, dates, accommodation, transportation, permits, park fees and all other services to be provided is clear and accurate before confirming the booking in writing. All references to quotations in writing shall include reference to correspondence by facsimile and electronic mail. The price of your chosen holiday will be confirmed at the time of booking. We reserve the right to correct errors in both advertised and confirmed prices and will do so as soon as we become aware of any such error. However, every care is taken to ensure that we provide right figures.

The prices quoted for the various safaris are as per the itinerary and include the following services, unless stated otherwise: overnight in hotels, guesthouses, tents or lodges, all meals as indicated, sightseeing as detailed in the itinerary, park entrance fees and ranger fees, airport transfers where applicable, ground transportation, English speaking driver/guides and bottled mineral water in the vehicle.

Expenses that are not covered: international and domestic air fares, visa and passports, meals not mentioned in the itinerary, drinks other than the mineral water provided in the vehicle, tips and gratuities for the guides and accommodation staff, laundry, travel insurance and other items of a personal nature.

We endeavor to operate the tour as outlined herein. However, circumstances beyond our control may require an adjustment to the TOUR or its inclusions and prevent the completion of programs as advertised. We strive to avoid such changes, but must reserve the right to make such modifications. The decision is normally made by the tour leader/Tour Guide at the time and is made in the best interests of the group and their safety. A-One Safaris cannot be held responsible for these changes. We must reserve the right to substitute hotels if necessary.

If you are required, or choose, to leave the tour for any reason (unless caused by our proven negligence or failure to provide services with due care and skill and that are reasonably fit for purpose), we are not responsible for any expenses, including your return home. This also applies if you do not return to the tour vehicle in time for departure after visiting a location on foot. If we assist with any costs, you will need to repay us on your return. In addition, you will not be entitled to any refunds.

Participants who are pregnant during their tour are required to supply a physician’s ‘fit to travel’ note, including your estimated due date, prior to commencing the tour. We are unable to accept any participants who will have entered their 20TH week or later of pregnancy, at the date of the tour.

All participants must be aged 6 years or older to travel. If a tour group has participants aged between 6 and 10 years old, they shall be provided with a caretaker during the course of the tour if the participant requires one but the caretaker’s travel costs shall need to be covered by the participant.

Parents/Legal guardians are responsible for children and teenagers at all times. If a child or teenager displays dangerous or disruptive behavior which may cause bodily harm and/or death to themselves or other tour participants, we may have to take preventive measures to either or both parent/legal guardian and child/teenager.

To ensure a safe tour for all our clients, items which may pose a risk to the safety of clients and staff are not allowed to be brought on any tour: Alcohol, illegal drugs, illicit substances, flammable liquids, and weapons (including knives of any kind). We can deny embarkation or disembark at any point of the tour any person in possession of any weapons or illicit substances. Any prohibited items found will be confiscated and, if appropriate, will be available for collection at the end of the tour. We may also hand these items over to law enforcement agencies. We are not liable for any outcome if a client is found with the said items by law enforcement agencies.

Smoking is not permitted on the tour especially in National Parks.

You are responsible for ensuring that no travel restrictions apply to you or any one in your tour group. If police or any other authority in any jurisdiction notify us of, or we otherwise become aware of, any matter that reasonably causes us to believe your presence on the tour presents a risk to your own health or safety or the health or safety of other participants and staff, we may deny you boarding. Once the tour has commenced, if a participant seriously affects the safety, well-being or enjoyment of themselves or any other person, the tour guide and/or leader has the right to confine, sedate or disembark the participant. In such cases, we are not responsible for any expenses including your return home. In addition, you will not be entitled to any refunds. While the Operator will always act reasonably in these circumstances, you accept that the safety, well-being and enjoyment of everyone on the tour comes first.

My advancement of a deposit to A-One Safaris certifies that I have been provided with, carefully read and fully understood the contents of the Terms and Conditions, especially those regarding cancellation and refund policies, limitation of liability, and responsibility borne by trip participants. On the advance of a deposit A-One Safaris., the depositor, his or her family and heirs agree to be bound by the above Terms and Conditions.
